The Situation

Fertilizer Canada has been a long-standing partner of Baytek for over 15 years.

Over that time, their digital presence evolved to support a growing organization, including a public website and a member portal used for meetings, documents, and internal collaboration.

As their needs expanded, so did the complexity of their systems.

The website was trying to serve both prospective members and existing members, creating a fragmented experience. At the same time, the portal had become an essential tool, but lacked the structure and flexibility needed to support modern workflows.

Event registration, member management, communications, and resources were all critical, but disconnected.

It became clear that the platform needed more than incremental improvements. It needed to be rethought as a cohesive system.

The Goal

The goal was to create a more cohesive digital experience across both the public website and the member portal.

Success meant:

The Approach

Thinking beyond a single platform

From the outset, this was not just a portal rebuild.

We approached the project as a connected ecosystem, where the website and the portal each serve a purpose, but share the same underlying data and logic.

This allowed actions to happen in different places while still feeling like one continuous experience.

Designing around real workflows

Through discovery sessions, we worked closely with the Fertilizer Canada team to understand how both members and staff interact with the system.

Key priorities emerged:

  • Members need to easily register for events, update their information, and access resources
  • Staff need to manage memberships, events, and communications efficiently
  • Different user groups require different levels of access

This led to a platform built around clearly defined roles, permissions, and workflows .

Building a comprehensive event system

A major focus of the platform is the event registration experience.

We designed a flexible system that supports:

  • Member and non-member pricing
  • Early bird rates and discounts
  • Complex ticketing scenarios, including add-ons and multiple attendees
  • Waitlists and capacity limits
  • Offline payments and administrative overrides
  • Detailed reporting and exports

This reflects the real-world complexity of managing industry events, while keeping the experience simple for users.

Creating a shared foundation with API and SSO

At the core of the platform is a centralized API that manages all business logic.

This allows both the website and the portal to connect to the same system, ensuring consistency no matter where actions take place.

For example:

  • A user can register for an event from either the website or the portal
  • Member data remains consistent across both environments
  • Permissions and access are managed centrally

We also implemented single sign-on (SSO), allowing users to move seamlessly between the website and the portal without needing to log in multiple times.

Beyond events, the portal brings together several critical capabilities:

  • CRM functionality to manage members, partners, and contacts

Expanding the platform to support the 4R program

Shortly after launch, the platform was expanded to support Fertilizer Canada’s 4R program.

The 4R initiative introduced a new layer of complexity, with its own workflows, stakeholders, and data requirements. Rather than building a separate system, we extended the existing platform to support it.

Because the portal was designed with flexibility in mind, we were able to integrate the 4R platform directly within it. This allowed the program to leverage the same user management, permissions, and overall experience.

This approach means:

  • Users can access 4R tools within a familiar environment
  • Data and workflows connect seamlessly with the broader platform
  • Staff can manage the program without switching between systems

It also reinforces an important outcome of the project: the platform was not only built to meet immediate needs, but to support future initiatives as they emerge.
